We are currently looking to recruit an experienced Parts Advisor for my client based in Braintree.
You will be the sole Parts Person responsible for all aspects of Parts Ordering and Stock for this very busy Bodyshop.
The role of Parts Person is to ensure the efficient running of the Parts Department to the benefit of the department, and bodyshop, with reference to retail, trade, workshop sales and goods inwards.
Key responsibilities and accountabilities:
To serve the customer in a polite and responsible manner and to ensure that payment is made to the Company's requirements and policies at that time.
To answer the phone as quickly as possible, obtaining information as required, enabling the parts to be supplied correctly.
To ensure Technicians are served as quickly as possible. Parts that require ordering are obtained as quickly and economically prudent to do so. All parts to be recorded prior to the Technician receiving them and booked out through the computer terminal as soon as possible. Warranty parts that have been returned to be labelled, job cards stamped and parts to be located correctly as per procedure policies at that time. To also operate a lost sales procedure.
All stock and VOR orders to be checked against delivery and advice noted and located. All discrepancies noted and relevant action taken for credits. All parts requiring new location to be listed, locations given and entered on the computer as soon as possible after receipt. All paperwork relating to returns to be completed as soon as possible and returned to the manufacturer.
All warranty labels to be checked against parts and discrepancies notified to Service. Labels to be attached to parts, recorded, packaged and stored in designated area.
All non-customer access to the Parts department to be closed at all times and only authorised personnel allowed access.
Till to be cashed daily and locked at night.
Credit notes to be done promptly and in accordance with procedure.
All gangways to be kept clear.
All parts to be stored correctly and safely and sold in rotation.
Floors and sales counters to be kept tidy.
Personal appearance should be in accordance with Company Policy.
All customers should be treated in a polite and courteous manner in accordance with Company Policy.
Service counter not to be left unattended during working hours. Tea and lunch breaks to be staggered. Person last in attendance to secure Parts department and sign off computer as procedure requires.
To record and report any stock discrepancies to the manager
To attend an annual stock check and also required to do perpetual stock checks all year round as required
To invoice all parts to all customers either on their account or on cash account.
To ensure that any stock adjustments to be signed off by the manager.
To maintain good housekeeping in designated area in the warehouse at all times.
Keep CRM , updated with the correct customer details and to capture any emails and details of potential customer’s.
To maintain a good relationship with all colleague’s , from other departments and any Customers or suppliers.
To arrange your own cover on the Saturday rota.
To ensure the use of the manufacturers info net to keep update or any new information.
To comply with all the Quality Standards agreed within the dealership and to have personal responsibilities for the application of the dealership's Policy and Procedures.
